Level HS Diploma or GED
3-5 years of related experience and/or training.
Advanced knowledge of MS Office applications, ability to understand and carry out general instructions in standard situations, ability to solve problems in standard situations, basic analytical skills. Requires general knowledge of financial terms and principles with the ability to calculate simple figures such as percentages. Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to present information to an internal group.
Responsible for supporting the portfolio management team with administrative and accounting duties including monthly financial reporting, annual budget preparation, tenant move-in and move-outs, construction, tenant improvements and vendor coordination. May assume Real Estate Services Assistant and Real Estate Services Coordinator responsibilities if portfolio size does not support all positions.
Customer Service including monitoring Client insurance and move-in and move-out activities, as well as coordinating the expedition of Client and Vendor walk-in requests. This is an ongoing activity and is monitored daily by Real Estate Manager (REM) through contact with the Clients and Vendor Associates. Maintain Client database, making additions and deletions as necessary. Prepare merge mailings or e-mail distributions for Building tenants. Prepares internal lease administration documents such as lease abstracts. Assists REM with the completion of reporting requirements including preparation of annual budget, monthly variance reporting, quarterly forecasts, taxes and other reporting as required property budget process including obtain bids and related pricing. Conduct weekly tours with vendors and building engineers to compile a list of maintenance items, coordinates vendor maintenance issues, and follows-up on the status of vendor jobs. Assist Assistant Real Estate Manager with the coordination of construction and tenant improvement responsibilities.
Scope of Responsibility
Works under the direct supervision of the REM; limited decision-making on items only within duties of the position. Supports team members by providing administrative services, information, and assistance.
